Privacy Policy (G-LevelBook)
Established: October 18, 2026 / Last updated: October 18, 2026
This Privacy Policy (this "Policy") sets out how GEOTENA ("we," "us," or "our") handles user information in the app "G-LevelBook" (the "App").
1. Business Operator and Contact
- Business name: GEOTENA (trade name of a sole proprietor)
- Address: Osaka Ekimae Dai-3 Building 11F-2, 1-1-3 Umeda, Kita-ku, Osaka 530-0001, Japan
- Contact (inquiries): geotena.jp@gmail.com
- URL of this Policy: https://geotena.jp/privacy (Japanese) / https://geotena.jp/en/privacy (English)
- Sales conditions of paid features: https://geotena.jp/tokushoho (Notation Based on the Specified Commercial Transactions Act, Japanese only)
2. Basic Policy
The App is a tool for calculating and recording leveling surveys. The survey data you enter is stored in a database on your device. We do not operate any server that stores survey data, and we never receive your survey data.
However, information leaves your device in the following situations. In each case, the recipient is a third-party service, not us.
- Cloud backup, which you can turn on at your option (your own Google Drive)
- The automatic backup feature of your device's operating system (your own Google account / iCloud)
- Voice input (speech recognition provided by your device's operating system)
- Displaying ads
- Purchasing a subscription and checking its status
- Checking for app updates
Details of each are described in Section 3.
3. Information We Handle and How It Is Obtained
3.1 Information Stored on Your Device (Not Sent to Us)
- Survey data: site names, route names, benchmark (BM) names and elevations, point names, formation heights (FH), and observation records (backsight, foresight, instrument height, ground height, setup information, etc.)
- Settings: screen color scheme, language, unit (m / ft), position of the dedicated keypad, display of button labels, etc.
- Words registered for voice input: words you have registered and their readings
- Input drafts: automatic drafts in Quick Mode and automatic saving on the observation screen
- The remembered save location for exported files (Android)
- Subscription status: the most recent subscription status checked with the store (used when the store cannot be reached)
- Record of initial consent: that you agreed, at first launch, to verify calculation results yourself
- Cloud backup connection information: the email address of the signed-in Google account (for display on screen) and information for staying signed in (tokens). The email address is backed up together with the survey data and stored in the app-specific area of your own Google Drive
3.2 Cloud Backup (Optional; Off by Default)
When you turn on "Cloud Backup" in the settings screen, you are asked to sign in to your Google account. If you sign in, the survey data described in 3.1 is saved to your own Google Drive and can be restored from there.
- The data is stored in your Google account, and we neither store nor view it.
- The permissions we request from Google are limited to two: saving to and reading from the app-specific area of Google Drive (drive.appdata), and your email address (email) for displaying the signed-in account on screen. The app-specific area is a hidden storage location used only by the App; the App does not access any other files in your Google Drive, your email, or other data.
- You can disconnect at any time (from the App's settings screen or from your Google account's security settings).
- Google's handling of information is governed by Google's privacy policy.
If you do not use this feature, the App never sends data to Google Drive. Note, however, that the automatic backup feature of your device's operating system is a separate mechanism. Please see 3.3.
3.3 Automatic Backup by Your Device's Operating System
Android and iOS have a device setting that automatically backs up app data to your cloud (Google account / iCloud). This is a feature of the operating system and is separate from the App's "Cloud Backup."
- When this mechanism is enabled, survey data on your device may be stored in your cloud even if you do not use the App's cloud backup.
- The data is stored in your own account, and we do not receive it.
- You can enable or disable it in your device settings ("Backup" on Android, "iCloud Backup" on iOS).
- How the App handles it: the Android version of the App is configured to be excluded from this automatic backup. Therefore, unless you use the App's cloud backup, survey data is not saved to your Google account by the operating system's automatic backup.
3.4 Voice Input (Microphone)
Only while you hold down the "Voice input" button next to the dedicated keypad does the App capture audio through the microphone and use it to transcribe point names and values.
- Transcription is performed by the speech recognition feature provided by your device's operating system. Depending on the operating system and device, audio data may be sent to and processed on servers of the operating system provider (Google or Apple). This processing is governed by each company's privacy policy.
- We do not receive the audio itself, and we do not store any recorded audio. Only the transcribed text is entered into the input field.
- Using the microphone requires your device's permission. If you do not grant it, you can still enter data with the dedicated keypad or your device's keyboard.
- The language used for speech recognition follows the App's language setting.
3.5 Camera (Scanning QR Codes)
On the BM registration and point / FH registration screens in Project Mode, the App uses the camera to scan QR codes displayed by another device.
- The scanned content is used only as registration data on your device.
- Captured images are never saved or sent.
3.6 Reading and Writing Files
- Import: when importing points and formation heights in bulk from Excel, text (.txt), or CSV files, the App reads the file you select.
- Export: when exporting observation data as Excel (xlsx) or PDF, the App writes to the save location you specify.
- You choose with whom to share exported files. These files are never sent to our servers.
3.7 Information Obtained by Ad Providers
To make the App available free of charge, it displays ads on screen. For ad delivery, optimization, and fraud prevention, ad providers may automatically obtain the following information:
- Advertising identifier (Advertising ID)
- IP address, and approximate location based on it (country / region level)
- Information about the use of your device and the App (device type, OS version, ad impressions and interactions, diagnostic information, etc.)
The App uses AdMob by Google LLC for ad delivery. The specific items obtained and shared are as set out in the AdMob data disclosure published by Google.
3.8 Purchasing a Subscription
If you purchase a subscription (removal of ads and lifting of the free-version limits), the payment is processed by Google Play's billing system (Google Play Billing).
- Payment information such as credit card numbers is handled by Google. We do not obtain it.
- The App obtains the subscription status from the store in order to decide whether to display ads and whether to lift the feature limits.
- The subscription status is tied to the store account used for the purchase.
- In case the store cannot be reached, the most recently checked subscription status is saved on your device. This information is never sent to us.
3.9 Accounts
The App does not require you to register an account with us. We do not obtain your name, email address, or similar information. The Google sign-in in 3.2 is for connecting to your own Google Drive, and the email address is used on your device only to display the signed-in account.
3.10 Checking for App Updates
To deliver fixes and other improvements promptly, the App asks the servers of Expo (650 Industries, Inc.) whether an update is available, for example at startup. At that time, information about your device's operating system and a random identifier used to determine whether an update has been received are sent. No survey data is sent.
4. Purposes of Use
The information obtained is used for the following purposes:
- Providing the App's features (calculation, recording, export, import, exchange via QR codes, and voice input)
- Backing up and restoring survey data, if you turn this on
- Delivering and displaying ads, and optimizing their display
- Measuring the effectiveness of ads, and preventing fraudulent or inappropriate use
- Checking the subscription status, and switching ad display and feature limits accordingly
- Understanding and improving the quality and defects of the App (where applicable)
5. Third-Party Services
The App uses the following third-party services. The handling of information by these providers is governed by their respective privacy policies.
- Advertising: Google AdMob (Google LLC) Privacy policy: https://policies.google.com/privacy
- Cloud backup: Google LLC (Google Drive / Google account) Privacy policy: https://policies.google.com/privacy
- Speech recognition: the provider of your device's operating system (Google LLC / Apple Inc.) Governed by each company's privacy policy
- In-app purchases (subscription): Google Play Billing (Google LLC)
- App update delivery: Expo (650 Industries, Inc.) Privacy policy: https://expo.dev/privacy
- Analytics / crash reporting: not used at present. If introduced, we will add the provider's name and the URL of its privacy policy to this Policy.
You can limit the use of personalized ads from Google's My Ad Center (https://myadcenter.google.com) or from your device settings (on Android, "Google" → "Ads").
6. Ad Personalization and Consent (Applicable Regions)
For users in regions where applicable law requires consent, such as the European Economic Area (EEA) and the United Kingdom, the App shows a screen asking for consent regarding ads (consent management), for example at first launch. This screen is displayed by the consent management tool provided by Google (User Messaging Platform). You can choose whether to give consent, and you can also choose non-personalized ads. You can review and change your choice at any time from "Privacy choices" under "About" in the settings screen.
7. Retention and Deletion of Data
- Survey data on your device: you can delete it at any time through the App (deleting records, uninstalling the App, etc.).
- Cloud backup data: it is in your own Google Drive. You can erase it by disconnecting in the App's settings or by deleting the data on the Google Drive side. Since we do not store it, there is no need to ask us to delete it.
- Data in the automatic backup by your device's operating system: you can delete it yourself from your device settings or from the management screen of your Google account / iCloud.
- User accounts held by us: there are none. Accordingly, there is no procedure for requesting account deletion from us.
- Information obtained by ad providers: deletion and opt-out follow the methods set by Google. You can limit personalized ads from Google's My Ad Center (https://myadcenter.google.com) or from your device settings (on Android, "Google" → "Ads").
8. Use by Children
The App is intended for people engaged in construction and surveying, and is not designed or provided for children. The target age on Google Play is 18 and over.
9. Security
- Protection of data on your device depends on the security features of the operating system and the device. Please manage your device appropriately, for example by using a screen lock.
- If you use cloud backup, please also check the security settings of your Google account (such as two-step verification).
- We design the App so that defect records (logs) do not contain the survey data itself.
10. Changes to This Policy
This Policy may be revised in response to changes in laws or improvements to the service. In the case of significant changes, we will announce them in the App, on the store listing page, or on our website.
